At Ember & Ice, we put heart and intention into every sauna session, plunge, and gathering. We also understand that life shifts—plans change, weather rolls in, and sometimes things don’t go as expected.
This Refund Policy outlines how we handle cancellations, rescheduling, and refunds across our services. Our goal is to keep things fair, transparent, and in the spirit of care—for you, for our team, and for our community.
1. Memberships
Our Embership Unlimited plan is billed monthly and provides unlimited access to all Ember & Ice locations.
- Non-Refundable: Membership fees are non-refundable once charged.
- Cancellation: To cancel, please provide 30 days' written notice by emailing contact@embernice.com.
- Pauses: You may request to pause your membership for up to 3 months per year.
- Missed Bookings: Missed or late-canceled sessions (less than 12 hours' notice) are not eligible for refund or reschedule. Repeated no-shows may result in booking restrictions or termination of membership.
2. Drop-In Sessions
For single bookings at any Ember & Ice location:
- Cancellations made 12+ hours in advance: You may reschedule your session or request a full refund.
- Cancellations made less than 12 hours in advance: Non-refundable.
- No-Shows: Non-refundable.
We know weather and wellness can be unpredictable—if something out of your control arises, please reach out. We do our best to support thoughtful exceptions when possible.
3. Private Rentals
Our mobile sauna rentals are a special offering, and due to the preparation involved, the following applies:
- Full refund if canceled 72+ hours before your scheduled start time.
- No refund if canceled within 72 hours of rental start.
- Weather Clause: If severe weather prevents safe use or transport of the sauna, we may offer a reschedule or partial refund at our discretion.
- Liability Hold: A $500 hold is placed on your card for damages. This is released if the sauna and supplies are returned in good condition.
4. Workshops, Events, and Special Sessions
Refunds for community events, workshops, or specialty experiences may vary depending on the event. Each event page will list its own cancellation and refund terms.

5. How to Request a Refund or Reschedule
To request a refund, reschedule, or discuss your options, email us at contact@embernice.com with your:
- Full name
- Booking date and location
- Reason for your request
We aim to respond within 1–2 business days.
